Notify a WhatsApp contact when a new Airtable record is created

Watches an Airtable table for newly created rows, stamps an audit comment on the record, and pushes the row details to a WhatsApp chat.

Why use it

Your team logs leads, orders, bug reports or applications into Airtable all day, but nobody finds out until someone remembers to open the base. A record sits untouched for hours, the person who should act on it never gets pinged, and by the time it surfaces the customer has gone quiet or the deadline has slipped. Email digests get buried, and Airtable's own notifications are easy to mute. Meanwhile nobody can tell later whether a row was ever picked up or silently ignored.

How it works

  1. 1Airtable is watched for newly created records in the table you pick. As soon as a row appears — typed in by hand, submitted through a form, or pushed in by another tool — it kicks off the run with all of its field values available.
  2. 2A comment is added to that same Airtable record, so the base itself carries a timestamped note that the row was picked up and an alert went out. Anyone opening the record later can see it was handled rather than guessing.
  3. 3The row's details are sent as a WhatsApp text message to the contact or group you choose, delivered through WhatsScale from your own connected WhatsApp number. The person who needs to act sees it on their phone within seconds.

What it connects

Questions

Which Airtable fields end up in the WhatsApp message?

Whatever you put in the message template. You build the text yourself and drop in values from the new record — name, status, amount, notes — so the message reads the way your team wants rather than dumping every column.

Will it fire for records that already existed in the table?

No. The trigger only picks up rows created after the automation is switched on, so turning it on will not blast your whole existing base into a chat.

Can the alert go to a WhatsApp group instead of one person?

Yes. The send step targets whichever chat you point it at, so a shared sales or support group works exactly the same way as a single contact.

What happens if a record is created and then edited a minute later?

Only the creation fires the flow, and the message carries the values as they were at that moment. Later edits do not send a second message, so you will not get a stream of updates for the same row.

Does the comment on the record clutter up the base?

Comments live in Airtable's comment panel rather than in a field, so your table layout is untouched. They give you a per-record audit trail of when the notification went out.

How fast does the message arrive after a record is added?

Usually within seconds of the row appearing, depending on how quickly the trigger picks up the new record. It is fast enough for time-sensitive leads and incoming support requests.
