HubSpot Deal to Airtable, Slides Deck and WhatsApp Alert
Logs each new HubSpot deal into an Airtable table, builds a branded slide deck from a template, writes the deck back onto the deal and pings the team on WhatsApp.
Use this templateWhy use it
Every time a deal lands in HubSpot, someone on the team has to copy the details into the shared Airtable tracker, then open last quarter's pitch deck, duplicate it, swap out the company name and numbers, save the link somewhere the account owner will find it, and finally shout about it in a group chat. It takes twenty minutes of clicking per deal, the Airtable tracker drifts out of sync with the CRM within a week, and half the time the deck link never makes it back onto the deal record — so the person who picks the deal up starts from a blank slide.
How it works
- 1A new deal created in HubSpot starts the run, carrying its name, amount, stage, owner and associated company across.
- 2A row is added to your Airtable table with that deal's details, so the tracker your team actually reads stays current without anyone retyping it.
- 3Google Slides copies your chosen deck template and fills the placeholders with the deal's values, producing a fresh, branded presentation for this specific opportunity.
- 4The deal record in HubSpot is updated with a link to the generated deck, so anyone opening the deal finds the presentation attached rather than hunting through Drive.
- 5A WhatsApp message goes out through WhatsScale to your sales channel or a chosen number, announcing the new deal and including the deck link so the team can act on it immediately.
Questions
What has to exist in my Slides template for the deck to come out right?
Your template needs placeholder tokens in the text — things like a company name, deal value or owner — that map to the HubSpot deal fields you pass in. Anything not mapped simply stays as-is on the slide, so start with two or three placeholders and add more once you have seen a deck generate.
Which Airtable columns does it write to?
You choose the base and table, then map each HubSpot deal field to a column. Column types matter more than names: put the amount in a number or currency field and the close date in a date field, otherwise Airtable will reject the record and the run will stop before the deck is built.
Will this fire for every deal, including tiny ones and test records?
By default it runs on every new deal in the connected HubSpot account. If you only want decks for real opportunities, add a condition after the trigger on amount, pipeline or deal type so smaller or internal deals log to Airtable expectations without generating a deck and a WhatsApp ping.
Can the WhatsApp alert go to a group rather than one person?
Yes — WhatsScale sends from your existing WhatsApp number, so you can target a sales group chat or an individual recipient. Many teams send to a shared group so whoever is free can pick the deal up, and the deck link in the message opens straight from the phone.
What happens if the deck fails to generate?
The steps run in order, so a failure at the Slides step means the HubSpot deal is not updated with a link and no WhatsApp message is sent. The Airtable row is already written by that point, so you will see the deal logged but without a deck, which is a useful signal that the template mapping needs a look.
