Instant Google Meet Link from Webhook to WhatsApp

Turns an incoming webhook payload into a scheduled Google Calendar event with a Meet link and pushes that link straight to a WhatsApp chat.

Why use it

Someone fills in your booking form or your CRM marks a lead as ready to talk, and then a human has to open the calendar, pick a slot, create the event, copy the Meet link and paste it into a WhatsApp chat. It takes a few minutes each time, it happens dozens of times a week, and it always happens late — the prospect gets the link an hour after they asked, or the day of the call with no link at all, and they no-show. Every manual copy-paste is also a chance to send the wrong time, the wrong link, or the link for someone else's meeting.

How it works

  1. 1A booking request arrives from your form, CRM or internal tool and lands here as a payload — the name, the phone number and the requested time are read straight out of it, so nothing has to be typed in by hand.
  2. 2Google Calendar creates the event at that time with the guest attached and generates a Google Meet link for it, so the call exists on your real calendar and shows up in your day like any other meeting.
  3. 3The freshly created Meet link is sent as a WhatsApp message to the contact through WhatsScale, using your existing WhatsApp number, so they have the joining link in the chat they already read.

What it connects

Questions

Where does the webhook payload come from?

Anything that can send an HTTP request: a Typeform or Tally form, a website booking widget, your CRM's outbound webhook, Zapier, or a script of your own. As long as it posts a name, a phone number and a start time, this flow can read it.

What happens if the payload has no time, or a badly formatted one?

The calendar step needs a usable start time to build the event. Send an ISO-style timestamp from your form or CRM, and make the time field required on the source side, so nothing arrives half-empty and creates an event on the wrong day.

Does the guest get a Google Calendar invite as well as the WhatsApp message?

If you add their email as an attendee on the calendar step, Google sends its own invite too. If you only have a phone number, the WhatsApp message is the invitation — which is often the point, because it gets opened.

Do I need a WhatsApp Business API approval before this works?

No. WhatsScale connects the WhatsApp number you already use, so there is no application to file and no waiting period before the first link goes out.

Can I change what the WhatsApp message says?

Yes. The message text is a plain template on the last step, so you can add the meeting time, your name, a reschedule instruction or a short reminder to test their camera, with the Meet link dropped in wherever you want it.

What if the same person books twice?

Each incoming payload is treated on its own, so two requests create two calendar events and two messages. If duplicates are likely, de-duplicate on the source side or add a check before the calendar step.
