Send new Google Calendar events to WhatsApp
Fetches the full details of every newly created calendar event and pushes them to a WhatsApp chat so the team sees each booking without opening the calendar.
Use this templateWhy use it
Bookings land in a shared calendar all day and nobody notices them until someone thinks to refresh the week view. A client books a 9am slot the night before, the person covering the morning never sees it, and you find out when they walk through the door. Half the team doesn't even have the calendar app open on their phone, so the only reliable way anyone learns about a new appointment is someone typing it into the group chat by hand — which works right up until it doesn't.
How it works
- 1The moment a new event is created in Google Calendar, the flow picks it up — no polling on your side, no one refreshing anything.
- 2Google Calendar is queried again for that specific event by its ID, so you get the complete record: title, start and end time, location, description, guest list and any notes the booker left, rather than the thin summary the trigger hands over.
- 3A text message goes out to the WhatsApp chat you choose, sent through WhatsScale from your existing WhatsApp number, laying out the event details so whoever is on shift sees the booking in the same place they already talk to each other.

Questions
Why does it look up the event a second time instead of just using the trigger data?
Calendar trigger payloads are often partial — you may get an ID and a title but not the description, attendees or location. The second lookup fetches the full event record so the WhatsApp message is actually complete and useful.
Can I send it to a group chat instead of one person?
Yes. The destination is whatever chat you point the message at, so a team group works exactly the same as a single contact. Most people use a group so the whole shift sees the booking at once.
Will it also tell me when someone changes or cancels an appointment?
No. This flow fires only on newly created events, so an edit to an existing booking or a cancellation will not produce a message. You would need a separate automation watching for updates.
Which calendar does it watch if I have several?
You choose the calendar when you connect the trigger. Point it at the shared booking calendar rather than a personal one, or your own private events will end up in the team chat too.
What does the message actually look like?
It's a plain text message you write yourself, using the event fields as placeholders — so you decide whether it reads as a tidy one-liner or a full block with time, location, guests and the booker's notes.
Do I need to apply for anything to send the WhatsApp messages?
No. WhatsScale connects the WhatsApp number you already use, so there is no application to submit and no waiting period before the first message goes out.
