Daily Drive File Audit to Sheets with WhatsApp Recap
Each morning it inventories a Google Drive folder, appends the file details as a row in a tracking spreadsheet, and pings a WhatsApp chat with the result.
Use this templateWhy use it
Shared Drive folders drift. Someone drops a file in the wrong place, a client upload never arrives, an old version quietly gets overwritten, and nobody notices until a deadline. Checking the folder by hand every morning is the kind of chore that gets skipped for weeks, and by then you have no record of what was there and when — so when a file goes missing you cannot prove whether it ever existed.
How it works
- 1Every morning the run kicks off on its own at the time you pick, so the folder gets checked before anyone starts working in it — no one has to remember.
- 2Google Drive is queried for the contents of the folder you nominate, returning the files it currently holds along with details like name and identifiers.
- 3Google Sheets gets a new row appended with the file details from that run, so the spreadsheet slowly builds into a dated history of what the folder contained each day.
- 4A WhatsApp message goes out through WhatsScale to the chat or group you choose, summarising the result of the audit so you see it on your phone without opening the sheet.

Questions
Does it watch subfolders too, or just the one folder?
The Drive step lists the folder you point it at. If you need subfolders covered, either point the step at the subfolder that matters most or duplicate the flow once per folder you want audited.
Will it tell me what changed since yesterday?
Not on its own — it records the current state each morning. The comparison lives in your spreadsheet: because every run appends a dated row, you can diff yesterday's row against today's, or add a sheet formula that flags differences for you.
What happens if the folder is empty or Drive is unreachable that morning?
An empty folder simply means there is little to record, and the run still completes. If Drive fails to respond, that morning's run errors out and no row is appended, so a gap in the sheet's dates is your signal to check the connection.
Can the recap go to a WhatsApp group rather than one person?
Yes. The WhatsApp step sends to whichever chat you configure, including a group, so a whole team can see the morning audit result in a channel they already read.
Can I change the time it runs?
The schedule is set to run daily and you choose the hour, so you can have it land before the workday starts or right after an overnight upload window closes.
Do I need a separate WhatsApp Business API approval to receive the recap?
No. WhatsScale connects your existing WhatsApp number, so there is no application process or waiting period before messages start sending.
