Notify on WhatsApp When a New File Lands in Google Drive
Watches a Google Drive folder, pulls the new file's details, and pushes them to a WhatsApp contact so the team hears about uploads instantly.
Use this templateWhy use it
Files pile up in a shared Drive folder and nobody notices. A client uploads a signed contract, a photographer drops the edited batch, a contractor adds an invoice — and it sits there for two days because the only way to find out is for someone to remember to open the folder and scroll. So people chase each other on WhatsApp anyway: "did the file come in yet?" Work stalls, deadlines slip, and the person waiting on the upload has no idea it already arrived.
How it works
- 1Google Drive watches the folder you choose. The moment a new file appears in it — uploaded, saved, or dropped in by someone you shared it with — the automation starts.
- 2Google Drive is queried again for that specific file, so you get the full record rather than just a bare notification: its name, type, size, owner, and the link that opens it.
- 3A WhatsApp message goes out to the contact or group you picked, sent through WhatsScale from your own WhatsApp number, with the file details written into the text you set up.

Questions
Does it watch subfolders too, or only the one folder I pick?
The trigger watches the single folder you select. If your team uses several intake folders, duplicate the automation once per folder — each copy can point at a different WhatsApp recipient too.
Can I send the alert to a WhatsApp group instead of one person?
Yes. The send step takes whichever recipient you configure, so a group used by the ops or production team works the same as a single contact. Many teams point it at a group so nobody has to forward the alert.
What exactly can I put in the message text?
Anything you type, plus the details fetched in the second step — typically the file name and a link to open it in Drive, with a short line of your own like "New upload in the client intake folder." You control the wording.
Will whoever receives it be able to open the file?
Only if they already have access to that Drive folder or file. The message carries the link; Google still enforces its own permissions, so share the folder with the people you are notifying.
What happens if ten files are uploaded at once?
Each new file is treated as its own event, so you get one message per file. For bulk drops of dozens of files, consider pointing the alert at a group chat or a folder that only receives finished deliverables.
Does editing or renaming an existing file trigger a message?
No. The trigger fires on a new file landing in the watched folder, not on changes to files that are already there, so ordinary editing will not fill the chat with noise.
