Log incoming Gmail spend receipts to Sheets and alert on WhatsApp
Captures every new email that lands in the inbox, records its details as a row in a spending spreadsheet, cleans the HTML body into readable text, and pings a WhatsApp number with the extracted spend info.
Use this templateWhy use it
Receipts, invoices and payment confirmations arrive in your inbox all day — card charges, subscription renewals, supplier invoices, app store purchases. Nobody logs them until the end of the month, and by then half are buried under newsletters, the amounts have to be re-read one email at a time, and you are copying figures into a spreadsheet at midnight before the books close. Shared cards make it worse: a charge can sit unnoticed for weeks, so overspending only shows up after the money is gone and nobody remembers what the purchase was for.
How it works
- 1Gmail watches the inbox and fires the moment a new email arrives, handing over the sender, subject, date and body.
- 2A new row is appended to your spending spreadsheet in Google Sheets, so every incoming email becomes a dated line item you can total, filter and reconcile later.
- 3The HTML markup, styling and layout tags are pulled out of the email body, leaving plain readable text instead of a wall of code — so the amount and merchant are legible at a glance.
- 4A WhatsApp message with the cleaned-up spend details is sent to your number through WhatsScale, so you see the charge on your phone without opening the inbox or the spreadsheet.

Questions
Does it only pick up receipts, or every email that arrives?
As built, the trigger fires on every new email that lands in the inbox, so each one gets a row and an alert. If you only want purchase emails, apply a Gmail filter or label to the incoming mail and point the trigger at that narrower slice, or add a condition on the subject or sender before the spreadsheet step.
What ends up in the spreadsheet columns?
You map the columns yourself when you set up the Google Sheets step — commonly date received, sender, subject and the message body. Create the header row in your sheet first, then match each header to the matching field from the Gmail trigger so the rows line up consistently.
Why is the HTML cleanup step needed at all?
Most receipt emails are built as HTML, so the raw body is full of tags and inline styles. Sent to WhatsApp untouched, it would be an unreadable block of markup. Stripping it leaves the plain sentences containing the merchant name and the amount.
Do I need a WhatsApp Business API approval to receive the alerts?
No. WhatsScale connects an existing WhatsApp number directly, so there is no application process or waiting period before messages start going out. Details are on whatsscale.com.
Can the alert go to a group or to more than one person?
The step as configured sends to a single number you enter. To notify a second person, duplicate the WhatsApp step and enter their number, or point it at a number that forwards into a shared group used by your finance or ops team.
How fast will I hear about a charge?
It runs on new mail arriving, so the row and the WhatsApp ping follow shortly after the receipt email itself lands — near real time rather than a nightly batch, which is what makes unexpected charges visible the same day.
