Turns every incoming email into a Google Tasks to-do item and pings you on WhatsApp so nothing sitting in the inbox gets forgotten.

Why use it

Your inbox is your to-do list, and that is exactly the problem. An email comes in on a busy afternoon, you read it on your phone, tell yourself you'll deal with it later, and by the evening it has been buried under thirty newer messages. The client waiting on a quote, the invoice that needed approving, the supplier question — none of it is written down anywhere you actually look, so the only thing standing between you and a missed commitment is your memory. Meanwhile the task list you do trust stays empty, because nobody has time to retype emails into it by hand.

How it works

  1. 1The moment a new email lands in your Gmail inbox, the automation picks it up — no need to open Gmail or refresh anything.
  2. 2A new to-do item is created in your Google Tasks list, carrying the email's details across so the request lives in your task list instead of only in your inbox.
  3. 3A WhatsApp message goes out to your number through WhatsScale, telling you a new task was just added so you know about it without checking either app.

Questions

Will this fire for newsletters, receipts and other noise?

By default it reacts to new mail arriving in the inbox, so yes — promotional and automated mail would create tasks too. Most people narrow the trigger to a specific Gmail label or filter first, then let this run only on the mail that reaches that label, which keeps the task list meaningful.

Which Google Tasks list do the items land in?

You choose the list when you set up the Google Tasks step, so you can send everything to your default list or create a dedicated one such as 'From Inbox' to keep email-driven work separate from your planned work.

Do I need to apply for the WhatsApp Business API to get the alerts?

No. WhatsScale connects the WhatsApp number you already use, so there is no application, no review period and no waiting for approval before the notifications start arriving.

Can the WhatsApp alert be sent to someone other than me?

Yes. The recipient number is part of the WhatsApp step, so you can point it at a colleague, an assistant or a shared team number if the person who acts on the email is not the person who owns the mailbox.

What happens if I get a burst of twenty emails at once?

Each email is handled on its own, so you would get twenty tasks and twenty WhatsApp messages. If that feels like too much, restricting the Gmail trigger to a label you apply deliberately is the usual fix.

Does completing the Google Task do anything back in Gmail?

No, the flow runs in one direction only: email in, task created, message sent. Archiving the email or ticking off the task are separate actions you handle yourself in each app.
