Email-to-Calendar Scheduling with WhatsApp Confirmation
Turns each incoming Gmail message into a Google Calendar entry, builds a tidy list of the meeting details, and pings you on WhatsApp so nothing is booked silently.
Use this templateWhy use it
Meeting requests arrive as ordinary email, so every one of them becomes a manual chore: read the message, work out the day and time, retype it into the calendar, then hope you remember it later. When the inbox is busy, some requests get skimmed and never make it onto the calendar at all, and you only find out when someone asks why you missed the call. The ones you do enter are easy to mistype, and nobody outside your inbox has any idea what just got booked.
How it works
- 1A new message landing in your Gmail inbox starts the run, and its subject and body are picked up as the raw material for the booking.
- 2Google Calendar creates the event straight from that text using its quick-add style parsing, so a line like a day, a time and a purpose becomes a real entry on your calendar.
- 3The scattered pieces of the booking — what it is, when it starts, where it lives on the calendar — are pulled together into one clean, readable set of details instead of a raw dump of fields.
- 4That tidy summary is sent to you as a WhatsApp message through WhatsScale, so a booking that happened silently in the background shows up on your phone the moment it is made.

Questions
Will this create an event from every single email I receive?
As written, yes — the trigger fires on new Gmail messages, so newsletters and receipts would be treated the same as meeting requests. Most people narrow this down by pointing the trigger at a specific Gmail label or filter, so only mail you have already sorted as a scheduling request reaches the calendar step.
What happens if the email does not contain a clear date or time?
Google Calendar's quick-add parsing does its best with the wording it is given. If no date can be read, the event tends to land on the current day or as an untimed entry. Because the WhatsApp message reports back what was actually created, you will see a wrong or vague booking immediately and can correct it in the calendar.
Does the sender get invited or notified?
No. The flow creates the entry on your own calendar and messages you. Nothing is sent back to the person who emailed you, so there is no risk of an automated reply going out before you have looked at the request.
Can the WhatsApp confirmation go to someone other than me?
Yes. The recipient number on the WhatsApp step is yours to set, so it can point at an assistant, a shared operations phone, or a colleague who owns the diary. You can also change the message text to include only the fields that person actually needs.
Which calendar does the event land on?
Whichever calendar you select on the Google Calendar step of the connected account. If you keep a separate calendar for client work or consultations, choose it there rather than letting bookings mix into your personal one.
Do I need to apply for WhatsApp Business API access first?
No. The messages go out through WhatsScale, which connects an existing WhatsApp number directly, so there is no application or approval period to sit through before the confirmations start arriving.
