Send a WhatsApp message when a new WooCommerce order is created

Looks up the buyer's WooCommerce customer record for every new order and pushes the order total and details to your team or the customer on WhatsApp within seconds.

Why use it

Orders land in WooCommerce all day and nobody knows until someone remembers to refresh the admin dashboard or dig through order-confirmation emails buried under everything else. Packing slips get printed hours late, a customer messages asking whether the order went through and the team has no idea, and on busy days a paid order can sit untouched until the next morning. Email notifications are ignored, the mobile admin app is slow, and there is no single moment where the whole team simply knows a sale happened and what is in it.

How it works

  1. 1WooCommerce fires the moment a new order is created, handing over the order ID, the line items and the totals as soon as checkout completes.
  2. 2WooCommerce is queried again with Find Customer, pulling the buyer's stored customer record so the message carries their real name and contact details instead of a bare order number.
  3. 3A WhatsApp message goes out through WhatsScale with the order total and the details you chose to include — to your fulfilment team's number, or straight to the customer as a confirmation.

What it connects

Questions

Can I send this to a group chat or several people at once?

The final step sends one text message to whichever number you configure. To reach a whole team, point it at a WhatsApp group your staff are already in, or duplicate the send step once per recipient number.

What if I want the message to go to the buyer instead of my team?

Use the phone number that comes back from the customer lookup as the recipient. Because the lookup runs before the send, the buyer's stored number and name are both available when the message is built.

Which order details can I put in the message?

Anything the WooCommerce trigger and the customer lookup return: order number, total, payment method, item list, shipping address and the customer's name. You write the message body as a template and drop those fields in wherever you want them.

Does this fire for every order status, including failed or pending payments?

It runs on order creation, so an order that is created but never paid will still trigger a message. If that is noisy for you, add a condition on the order status or payment method before the send step.

What happens if the buyer checked out as a guest and has no customer record?

The lookup may come back empty, since guest checkouts do not always create a stored customer. The order data from the trigger is still there, so keep the essentials like order number and total in the message body and treat the customer name as optional.

How fast does the message actually arrive?

The trigger fires on order creation rather than on a schedule, so in normal conditions the WhatsApp message lands within a few seconds of the customer finishing checkout.
